1. Booking & Reservations

1.1. All bookings must be made through Reeca Travel via our website, email, phone, or in person.
1.2. A booking is confirmed only after receiving a confirmation email and the required deposit.
1.3. It is the client’s responsibility to check all travel documents upon receipt and notify us of any errors immediately.


2. Payments

2.1. A non-refundable deposit of 50% is required at the time of booking.
2.2. Full payment must be received by 28 days before the departure date unless otherwise stated.
2.3. Failure to pay on time may result in cancellation of the booking with applicable cancellation charges.

2.4 Payments should be made after invoicing and to a communicated bank account

2.5 Payment can be done by transfer, EFT, bank deposit, online or via payment link

2.6 Payment should reflect before service is being rendered


3. Cancellation & Refund Policy

3.1. Cancellation by the client must be received in writing (email or letter).
3.2. The following cancellation fees will apply unless otherwise specified

  • Refunds will follow suppliers Ts& Cs and a refund quote will be emailed before refund
  • Less than 30 days before departure: 100% of the total cost or rescheduling permitted atleast 2 weeks before departure

3.3. Refunds, if applicable, will be processed within 8 -12 weeks after cancellation confirmation.
3.4. No refunds are given for unused services once travel has commenced.


4. Changes by the Client

4.1. If you wish to change your booking, an administrative fee of P750 will apply per change, plus any supplier charges.
4.2. Changes requested within 5 days of departure may not be possible due to availability


5. Changes or Cancellations by the Agency

5.1. We reserve the right to make changes to or cancel your travel arrangements in circumstances beyond our control (e.g., natural disasters, political unrest, airline strikes).
5.2. If we cancel, you will be offered an alternative or a full refund, unless cancellation is due to non-payment or other breaches of contract.


6. Travel Insurance

6.1. Comprehensive travel insurance is strongly recommended.
6.2. It is the client’s responsibility to ensure coverage includes cancellation, medical, and repatriation expenses.


7. Passports, Visas, and Health

7.1. Clients are responsible for ensuring they have valid passports, visas, vaccinations, and other entry requirements.
7.2. Reeca Travel is not liable for any issues arising from incorrect travel documentation.


8. Limitation of Liability

8.1. Reeca Travel acts only as an agent for third-party suppliers and shall not be held liable for acts, omissions, or default of these suppliers.
8.2. We are not responsible for any injury, loss, damage, delay, or inconvenience caused by force majeure or other events beyond our control.


9. Code of Conduct

9.1. Clients must comply with all local laws, respect local customs, and follow the guidance of the tour leader or service providers locally, regionally or internationally.
9.2. We reserve the right to terminate participation in a tour without refund in cases of misconduct or behavior deemed dangerous or disruptive.


10. Governing Law

These terms and conditions are governed by the laws of Botswana, and any disputes shall be resolved in the courts of this jurisdiction.
