REECAS TERMS & CONDITIONS
The purchase of any travel service offered by REECA TRAVEL constitutes a contractual agreement between you and REECA TRAVEL and represents your acceptance of REECA TRAVEL’s terms and conditions set out herein and invoices supersede any other agreement between parties and any prior oral or written exchanges. We act as booking agents for the suppliers of the components part of the holiday we organise (Flights, hotels, bus tickets, visa, travel insurance, cruise ships, activities etc) and you will be subject to the standard terms and conditions. All bookings should be made via email/letter/fax or names confirmed via short message to the office mobile so every detail is captured as is and to trace correspondence & any changes should be done via same means. All holidays are subject to availability.
PASSPORTS //VISAS// HEALTH CERTYIFICATES
Passengers must be in possession of valid passport and necessary visas and health certificates. In case of passenger being refused entry by any immigration or other authority all repatriation costs are to be borne by the passenger. Any visa applied through REECA TRAVEL doesn’t guarantee approval but will be subject to immigration approval. It is the clients duty to familiarise themselves with inherent dangers for their proposed travel arrangement.
All bookings are made and confirmed on the condition that a non refundable deposit of 30% of the land arrangements and full payment of the airfare should be paid within 48 hrs before the system auto cancels or price increase. Any client opting for a lay bye holiday, (instalment plan) should there be any increase you have to be in a position to top up or alternate dates to be within the same price range. Your travel consultant at the time of booking will advise payment due before you settle. Balances should be payable 8 weeks before travel and last minute bookings are to be paid immediately. Names should be provided as on passport and we request you email us your passport copy to capture all details correctly. Changes to a confirmed and paid booking will result in cancellation penalties depending on the supplier. Quotations are based on today’s rate exchange and strictly subject to currency fluctuations until payment is received in full. Bookings made on fixed departure are not refundable but transferable to the next friend who hasn’t booked and the deposit will be used for the indicated trip only and expire after the trip date. When making a deposit for the group you have to indicate the exact amount paid by the particular individual for accountability purposes and if a particular individual refuses to settle balance due, balance will be for the whole group not per individual and the group will deal with their member accordingly. If a member of the group cancels, REECA TRAVEL will re-quote and raise surcharges. Please review and verify your booking invoice thoroughly and contact REECA TRAVEL immediately if the invoice appears to be incorrect. Incase of billing errors REECA TRAVEL reserves the right to re-invoice you with correct pricing. If the client has made a booking personally but which forms but of the travel arranged by REECA TRAVEL we request the details to be emailed to ensure the trip is synchronised and no phone notifications will be accepted on such. Any special request should be communicated by the client if any. The person requesting estimates or making booking even on behalf of someone is deemed to have read, and accepted the Conditions and to have the authority to do. Any quote accepted by the purchaser we believe the customer (traveller) is in agreement of that which is specified. Adverts on flyers, social media and other marketing mediums are usually a short version of the packages/products/services- Refer to formal quote and formal invoice for elaborated inclusions.
There are certain factors that influence pricing; currency fluctuations, cost of fuel, transport cost, hotel room availability, security charges, city & airport taxes & levies, peak season decorations and compulsory dinners. We reserve the right to pass any surcharges to you. Airfares are subject to availability and cannot be guaranteed by REECA TRAVEL. REECA TRAVEL will check current prices before making a payment. Should a client make a booking and make changes because of any reason REECA TRAVEL will revise the quote. Should the client refuse to accept and pay such it may result in cancellation of the booking & a forfeiture of all payments made. Price can only be guaranteed once payment received in full.

DEPARTURE TIMES & TRANSPORT
All means of transportation are subject to weather conditions, need for maintenance, and ability of passengers to check in on time. There is no guarantee that flights, trains, buses, ferries, cruise ships will depart at the times states on the itinerary. All times are estimates and we do not accept liability for any delay for any schedule change. Boarder delays, shopping mall delays or delays from any activities / excursions are not liability or REECA TRAVEL. Transport to be used on tours will be dependent on the number of persons booked and REECA TRAVEL is not obliged to provide a bigger transport /bus for few clients booked and a big bus is not guaranteed on any fixed tours as it depended on the number of subscribers. Should you deviate from the group on scheduled tours and fail to meet them because or contact them REECA TRAVEL will not be liable for such as the schedule can change when and as due to weather, traffic, congestion.
Once everything has been paid, documentation will be prepared for your tip and emailed to you or communicated in the best way to reach you depending on accessibility. Should you prefer regular delivery, courier cost will apply.
In the event your trip is extended due to flight delay, strikes, bad weather which is beyond our control. All expenses relating to unscheduled extensions will be for the account of the passenger. We accept no liability for charges, omissions, delays before or during holiday occasioned by weather conditions, breakdowns, strikes, technical difficulties.
For no shows there are strictly no refunds. When making a cancellation, notify us immediately so we advise accordingly. Where the booking was on special it may result in 100% forfeiture regardless when the cancellation was made. On the package part you will be responsible for all cancellation charges imposed by the supplier. REECA TRAVEL charges 10% of the package price on finalised booking. REECA TRAVEL reserves the right to charge cancellation fee of up to 100% of total package in its sole discretion. In a particular circumstance, which what you already paid to us, will be taken by us as payment or part payment of any cancellation charge.
OUR RIGHT TO CHANGE YOUR TRAVEL ARRANGEMENTS
Incase of any changes to your travel arrangements; you will be notified on email. When quoting on packages, for flights normally we quote on the cheapest (subject to availability and advance purchase) and we aim to maintain the same price which when the price change we may normalise by similar route (airline) /hotel if sold out, unless at the time of booking the client suggested /specified preferred hotel /airline. Changes can be made if practical, we will advise on such but we are not obliged to do so. Such changes are made by REECA TRAVEL in its sole discretion and will not be responsible or liable for the payment of compensation to you as a result of such change. Every effort is made by REECA TRAVEL to adhere to confirmed itinerary; we reserve the right to make changes to your travel arrangement when it becomes necessary to do so.
Our standard refund for land arrangements is 4 weeks whilst for air tickets it can be 12 weeks or more. However time frames cannot be guaranteed. Tickets returned to us will be presented to suppliers for assessment. Should refund be authorised such refund will be made to you less any cancellation or administration charges. For musical shows/concerts/festivals cancelled by the organisers of the event no refund will be made by REECA TRAVEL on behalf of the organisers as they are two separate entities. Refund is only payable if paid out by the supplier.
RESPONSIBILITIES /LIABILITIES /SAFETY
We act only in the capacity of an agent to the suppliers of travel products. We assume no responsibility for any personal injury, property damage, or other loss, accident, delay, inconveniences, or irregularities which may be occasioned by either reason – An act of omission of any of the suppliers. We have no special knowledge regarding financial conditions of the suppliers, unsafe conditions, health hazards, weather hazards, climate extremes at locations which you may travel. You assume full and complete responsibility for checking and verifying all passport and visa requirements of the destinations and for complying with all laws of the country in the Itinerary. You are also responsible for respecting the authority and following the directions of the tour guide during a Tour. We may exclude you from participating in all or any part of the tour if, in our sole discretion, your condition or behaviour renders you unfit for the tour or unfit for continuation once the tour has begun. Unfitness may include, without limitation, any behaviour that, regardless of its cause, is inappropriate or offensive or interferes with the delivery of tour services, or may constitute a hazard or embarrassment. In such case, our liability shall be strictly limited to a refund of the recoverable cost of any unused portion of the tour. We are not responsible for the behaviour of other tour participants toward you. Should you decide not to participate in certain parts of the tour, no refunds will be made for those unused parts. You agree to release us from liability for any matter for which we disclaim liability under this Agreement. You agree to indemnify and hold us harmless from and against our liability to third parties arising out of your or your companions’ actions or omissions. You agree to grant us (and third parties with whom we may engage in joint marketing) a worldwide, royalty-free, fully paid up license to use your photographic, video, or digital likeness solely for our promotional and/or commercial purposes.
SERVICE INQUIRIES AFTER THE VACATION / FEEDBACK:
In the event that you have any reason to complain, or experience any problems / hiccups with your travel whilst away, you must immediately inform the supplier of the services in question. If you are still dissatisfied, you must notify REECA TRAVEL immediately to enable us to resolve the problem. Failure to give us the opportunity to resolve any problem at the time it occurs may result in either a reduction, or complete extinction, of any rights which you may have to claim compensation. AFTER returning from your vacation, if you wish to inquire about any services provided, please ensure that all correspondence relating to those services is received by REECA TRAVEL. In the event of a problem or complaint involving the negligence of any suppliers, sub-contractors, or agents in relation to any service provided to the vacation participant, REECA TRAVEL must receive the complaint within 30 days of tour completion.
This document together with REECA TRAVEL’s invoice / itinerary constitutes the sole record of the agreement between the parties. No party shall be bound by any representation, warranty, and promise of the like not recorded herein. This agreement shall in all respects be governed by and construed in accordance with the laws of Botswana.
